New Club Charter Documents (2008-2009 revised documents)

Below are the different forms that need to be completed when completing the chartering process.  The instructions for each of the forms are included in the "How-to-Build-A-Toastmaster Club" manual.  All forms are necessary to complete the charter process for a new club and should be sent to newclubs@chinatoastmasters.org for review before being submitted to Toastmasters International for processing.

Application to Organize - Should be completed and Charter Fee paid as early possible so that a New Club Kit can be sent to the prospective Club.  Included in the New Club Kit will be up to 20 New Member Kits (number must be specified on the form) and these will be paid for later when the club submits its charter dues and fees.

Charter Membership Certificate and Remittance Notice - Completed when the club has 20 or more members and is ready to charter.  This form includes payment for six-months of membership dues and service charge for New Member Kits.  If the Charter Fee was not paid prior to this point, this must also be included in the payment.  Payments from China can only be done by using and International Credit Card or Bank Wire Transfer. (Note - Add $30 USD to the fees paid if processing a Bank Wire Transfer for payment to cover the transfer fees associated with Wire Transfers.)

Charter Membership Roster - Complete listing of name and contact information for every member that has joined the club when the charter application is submitted.  To ensure that the member can receive information from Toastmasters International and the district, it is important that the address and email areas be accurately completed.

Charter Club Officer Information - A listing of the names of the officers of the club when it charters.  Contact details for Officers are on the Charter Membership Roster and for officers it should include (at minimum) complete address, email address, mobile phone number.

Club Information Form - Complete meeting location, day of week and time of day information, as well as club contact information.  This is the information that Toastmasters International will use when listing the club on their "Find A Club" pages.

Toastmasters Club Constitution for Member Clubs of Toastmasters International - Know as the Constitution and By-laws, this form must have pages 1, 6 & 7 completed and submitted to charter a club.  Directions on how to do this are included in the "How-to-Build-A-Toastmaster Club" manual or by contacting a district officer for assistance.

Complete Set of Forms for Chartering a Club - All of the forms from above are included in a single document.
