Toastmaster Magazine Questions

Dear Officers and Leaders in District 85P,

Since the formation of the district one month ago, I have received several emails and phone calls concerning issues with members receiving the Toastmaster Magazine. Since the magazine subscription is part of your membership, the delivery each month of the magazines is important not only to the district, but to the staff at World Headquarters as well. I took a little time to discuss the delivery with leaders in the US and have some suggestions to assist in resolving magazine delivery issues.

Individual Addresses vs. Bulk Address
If your club uses individual address for its members then the magazine will be sent to those addresses; therefore if some members are receiving the magazine, but others are not, the addresses for those not receiving the magazine need to be corrected. In many clubs the solution being used is to have all members use one address for their member listings. However, if this address is incorrectly listed, then none of the members will get their magazine. Go to the Q&A below to read the process steps to ensure the delivery of your magazine before making an address change with TI. It is very important to verify with the local postal office if the address you will give TI will allow you to receive the magazines.

Incorrect Addresses
We live in a mobile age where people move far more frequently than they did in the past. It is the responsibility of our members to inform TI of their change of address (as well as informing their club officers) and this can be done in one of two ways – You can send an email to addresschanges@toastmasters.org (make sure to include your Name, Club Number and District Number in the note) giving the contact information changes which should include the address (in English with no non-standard characters), your email address and mobile phone number. The faster method is to have the member go to the TI website and put in their address change at the online contact information change (http://www.toastmasters.org/addresschange1.asp). It usually takes at least one cycle of magazine delivery for this to occur.

Schedule of Magazine Publication
Toastmasters International publishes the monthly magazine in the first week of every month. Magazines are sent using first class mail delivery, so this can take up to three weeks for delivery in China. I typically receive my magazines by the 25th of the month, although they have come earlier than this and in some months taken longer.

The list above and in the Q&A below is not meant to be all inclusive, but answers the majority of questions/problems concerning magazine delivery. If you have additional questions concerning delivery of magazines, please send a note to membersupport@chinatoastmasters.org with the subject “TI Magazine Question” and our district officers will research the answer and get back to you as quickly as possible.

Toastmaster Magazine Delivery Issue Resolution Q&A

1.  Our members have not received the monthly Toastmasters Magazine since we got our New Club Kit when we formed.  What can be done to get the magazines in the future?

If your members have not received any magazines since it received the copies included in the New Club Kit, this means there is a problem with the post office being able to deliver mail to the address the way you have it listed with TI. The New Club Kit was shipped via an express delivery service (usually DHL in China) and they are more used to having packages with English in the address and will call for directions if they cannot find an address.  The monthly magazines are shipped via regular mail, so it is very likely that the problem lies with your local postal office (since the TI mailing labels are in standard US mail format and use the Pinyin spellings of the Chinese addresses.  Here are the steps I recommend you take to ensure your address listing is correct:

1.       Have a club office get your address listing from the Club Business section of the TI website by downloading the Membership Roster.

2.       Check the address to make sure it is correct – if there is an error here, this may be the reason you have not gotten your magazines.

3.       If the address appears to be correct, go to your local postal office and ask them to verify that mail coming from the US with an address listed the way it shows on the membership roster will be able to be delivered – if they make suggestions on how to fix the address, please submit an address change request on the TI website (http://www.toastmasters.org/addresschange1.asp) – this can take one month before the address is changed on the mailing labels.

4.       If the address shown is okay with your local postal office, then you should send an email to membership@toastmasters.org with the subject of “Missed Magazine”.  Make sure you give your name, the name and number of your club (include that you are in District 85P) and explain the problem to them and the steps you have taken.  TI will respond with suggestions on how to improve the delivery.

5.       If you are not able to resolve the matter, you can then escalate the matter to the District by sending a note to membeship@chinatoastmasters.org with the subject “Missed Magazine” and a short explanation of the steps you have taken.  While the district cannot guarantee that the situation will be resolved, we will try to assist you in resolving the matter.

2.  Some of our members get their magazine and others do not.  How can we get magazines for all of our members?

In most cases, the above example still applies – especially if each member has a different address on file.  One solution is to have all the magazines shipped to one address – preferably one that is a business address, as these usually are delivered.

3.  Can we get the old magazines that were not delivered to our members sent to us now?

Probably not – TI only prints a small quantity of magazine that is over the number needed each month, so the supply is very limited.  If they can replace a missed magazine, it is usually only for the preceding month. If you have missed several issues, you will probably not be able to get all of the back issues.

4.  Does TI have the articles in an electronic form that they could send us or that we could download?

TI does have some articles on their website that you can view (http://www.toastmasters.org/artisan/member.asp?CategoryID=1&SubCategoryID=10).

5.  Since we received our New Club Kit via DHL, can we have magazine delivered by DHL to make sure we get them?

No, as the cost for the DHL shipment of magazines would exceed the budget TI has for delivery of the magazine.
